Client Relations Specialist (CRS)

As a Client Relations Specialist, you’ll serve as the bridge between our clients and internal teams. Your primary goal is to ensure client success, satisfaction, and retention by understanding their needs, keeping communication clear, and making sure our team delivers on expectations.


Key Responsibilities:


 Client Management & Communication

  • Serve as the main point of contact for assigned clients
  • Understand and track each client's goals, challenges, and preferences
  • Conduct weekly check-ins via phone, Zoom, or email to review progress and maintain engagement
  • Deliver a high-touch experience by sending thoughtful client gifts or milestone thank-yous (optional but encouraged)

 Internal Coordination

  • Communicate client needs, updates, and concerns to the Data Engineer and other internal team members
  • Ensure timely follow-ups and resolution of client concerns or requests
  • Monitor project timelines and keep both client and internal teams aligned

 Client Success & Retention

  • Keep clients informed, engaged, and feeling supported at every stage
  • Look for upsell opportunities or ways to offer additional value
  • Track satisfaction and proactively prevent churn
  • Identify potential case studies or testimonials for future marketing

 Productivity & Optimization

  • Help clients stay on track with deliverables (i.e. content approvals, feedback, or goal alignment)
  • Provide helpful insights or tools that support their growth and productivity
  • Monitor account progress and suggest improvements based on client goals

Data & Performance Engineer

The Data & Performance Engineer is responsible for the strategic backend operations of the agency, ensuring data accuracy, optimizing account performance, leveraging AI tools, and supporting client growth through insightful research and system improvements. This role also manages assistant talent and collaborates closely with the Client Relations Specialist (CRS) to deliver actionable data that fuels both retention and acquisition.


Key Responsibilities:


Client Account Management & Performance

  • Manage and monitor 10 active client accounts
  • Ensure deliverables are met on time and to high standards
  • Track and analyze performance metrics (engagement, growth, ROI)
  • Propose data-backed optimizations to improve client results

Internal Collaboration & Communication

  • Maintain daily communication with the Client Relations Specialist (CRS)
  • Deliver timely updates on client performance, concerns, or opportunities
  • Provide reports and strategic recommendations as needed

Research & Prospecting (when active workload is light)

  • Compile and qualify lead lists for potential clients using tools like Google, Gemini, AI assistants, or scraping tools
  • Include relevant contact info (name, phone, email, social profiles, owner data), business location, and website analysis (areas for improvement)
  • Organize prospect lists by niche (e.g., barbers, food trucks, estheticians, etc.)
  • Send finalized prospect data to CRS for outbound sales efforts

Content Ideation & Development

  • Create sample or speculative marketing content tailored to specific niches (e.g., ad mockups, sample posts, promo graphics) for use in sales, lead gen, or portfolio
  • Work with CRS or marketing team to brainstorm creative angles based on niche trends

AI, Tools, & Innovation

  • Stay current with AI tools, marketing automation, and emerging tech
  • Learn and implement platforms like Gemini, ChatGPT, Midjourney, etc. for research, creative, or automation tasks
  • Proactively suggest new tools or workflows that could improve agency efficiency

Talent Oversight

  • Manage and delegate tasks to $40/week assistant or junior talent
  • Review output, ensure accuracy, and provide feedback to maintain quality standards

Commission-Based Client Outreach Specialist

As a Client Outreach Specialist, you are the front line of our growth. Your job is to identify, engage, and convert qualified prospects into paying clients. You’ll be responsible for representing our agency in a professional, high-value way, closing deals, and helping business owners understand how our marketing services can grow their brand and revenue.


Key Responsibilities:


Prospecting & Outreach

  • Proactively contact potential clients across various niches (e.g., food trucks, barbers, beauty brands, service providers)
  • Follow up on qualified leads provided by the Data & Performance Engineer
  • Use cold calling, Instagram DMs, emails, networking, or in-person outreach (if local)
  • Personalize outreach to highlight industry-specific pain points and offer tailored solutions

Sales & Deal Closing

  • Clearly communicate the value of our services and current promotional offers
  • Lead prospects through the sales process and answer basic service questions
  • Close 2–4 new client deals per month (minimum performance target)
  • Collect initial client details and assist with onboarding transition to the Client Relations Specialist

CRM & Pipeline Management

  • Track all outreach efforts, follow-ups, and deal status in CRM or tracking sheet
  • Maintain clear records of contacts, notes, and conversion progress
  • Follow up persistently while maintaining professionalism

Collaboration & Feedback Loop

  • Work closely with the CRS and Data & Performance Engineer to align prospecting strategy and update client needs
  • Share feedback on outreach results, objections, and patterns to improve pitch scripts and promotions
  • Provide creative input for marketing materials or offers based on conversations with leads

Brand Representation

  • Represent the agency in a friendly, confident, and knowledgeable manner
  • Build relationships, not just transactions — we prioritize long-term client value
  • Stay updated on agency offerings, new services, and marketing trends in target niches

PPC Specialist

PPC is one of the most powerful tools in our digital marketing toolkit, but it requires someone capable and detail-oriented to get the best results. The PPC Specialist will manage all aspects of our clients’ paid search campaigns, making adaptability and analytical skills crucial for success.


Key Responsibilities:

  • Managing AdWords campaigns
  • Analyzing and reporting on PPC performance
  • Ensuring campaigns are optimized and achieving desired results
  • Writing engaging ad copy
  • Conducting keyword research and troubleshooting search campaigns
  • Managing monthly budgets and creating new AdWords accounts
  • Implementing conversion tracking
  • Conducting competitor research

SEO Specialist

Our SEO Specialists are responsible for the day-to-day management of SEO campaigns, ensuring clients’ websites rank highly in search results. You’ll collaborate with our team to implement strategies that drive organic traffic and improve overall SEO performance.


Key Responsibilities:

  • Conducting on-page and off-page optimization
  • Performing thorough keyword research and competitor analysis
  • Auditing websites and identifying SEO issues
  • Developing and executing link-building strategies
  • Monitoring ranking positions and making recommendations for improvement
  • Implementing technical SEO fixes, including schema markup and site speed improvements
  • Generating detailed SEO reports and presenting findings to clients
  • Implementing conversion tracking
  • Staying updated on industry trends and best practices

Web Designer

Our Web Designers play a key role in crafting visually appealing, responsive websites that deliver great user experiences. You’ll collaborate with our internal teams to bring clients’ visions to life, ensuring their digital presence is modern, functional, and optimized for conversions.


Key Responsibilities:

  • Designing and developing custom websites
  • Creating mockups and wireframes based on client requirements
  • Implementing responsive design to ensure mobile-friendliness
  • Collaborating with the SEO and content teams to ensure sites are optimized for search
  • Optimizing site performance and load times
  • Troubleshooting and fixing website issues or bugs
  • Managing updates, redesigns, and site refreshes as needed
  • Keeping up with the latest web design trends and tools

Sales Development Representative

As a Sales Development Representative, your role will be to grow Aivinty Marketing's sales pipeline by engaging with new and potential leads.


Key Responsibilities:

  • Making 60+ cold calls and sending targeted emails daily
  • Transitioning prospects from initial conversation to a more in-depth meeting with the sales team
  • Educating and setting client expectations with the Aivinty Marketing process
  • Utilizing our best practices to connect with as many new leads as possible

Project Coordinator or Project Manager

As a Project Manager at Aivinty Marketing, you’ll ensure smooth workflow and on-time delivery across all departments. You’ll coordinate with teams and clients, manage deadlines, and ensure that every project is completed successfully.


Key Responsibilities:

  • Managing multiple projects from initiation to completion
  • Coordinating between departments to ensure effective communication and resource allocation
  • Setting and tracking project milestones, deadlines, and deliverables
  • Managing client expectations and keeping them informed on project progress
  • Identifying risks and developing mitigation strategies to keep projects on track
  • Managing project budgets and ensuring they remain within scope
  • Ensuring post-project analysis is conducted to improve processes and efficiency for future work
